Business Central NAV Online Invoice: Data Reporting, Data Retrieval, and Processing

Business Central NAV Online Invoice: Data Reporting, Data Retrieval, and Processing

For Hungarian companies, reporting data via NAV Online Invoice is now a basic requirement. When implementing an enterprise resource planning (ERP) system, it is therefore a key consideration how the system handles this obligation in practice and to what extent it can be closely integrated with invoicing processes.

The Hungarian localization of Microsoft Dynamics 365 Business Central enables invoicing processes to be closely integrated with the NAV system, making data reporting an integral part of daily operations.

What is online invoice data reporting?

The purpose of the NAV Online Invoice system is to ensure that data from invoices issued by companies is transmitted to the authorities in real time.

In practice, this means that companies must submit their invoice data to the NAV Online Invoice system, where it is processed and the NAV provides feedback on the results of the data submission.
If the data is incorrect or incomplete, it must be corrected. Data reporting is thus directly linked to the invoicing process.

In an enterprise management system, this works effectively when data reporting is not a separate process but is integrated into the billing logic.

How does Business Central support this?

The Hungarian localization of Business Central integrates the Online Invoice feature so that it becomes a natural part of the invoicing process.

Among other things, the system:

  • provides a direct connection to the NAV Online Invoice system
  • automatically forwards the invoice data
  • handles NAV response messages
  • log the status of data reporting
  • supports error handling and resubmission

This means that users do not have to switch between different systems: data reporting can be tracked within the ERP system

What does this mean in day-to-day operations?

A properly configured Online Invoice connection significantly reduces administrative burdens, but it also requires a new type of control.

In practice, this manifests itself in several areas:

  • Data reporting begins automatically after invoices are issued
  • Based on feedback from the NAV, it is immediately apparent if an error has occurred
  • errors are corrected within the system
  • the finance team can continuously monitor the situation

This is particularly important in cases of high transaction volumes, where manual data reporting would no longer be feasible.

What should you keep in mind when implementing it?

Integrating Online Invoicing is not merely a matter of technical configuration. Operational stability depends to a large extent on processes and data quality as well.

Based on experience, the following areas are of particular importance:

  • Accurate master data (customer information, tax ID numbers)
  • consistency of billing processes
  • pre-launch testing
  • Proper configuration of the NAV connection
  • Development of error-handling processes

If these are not in order, data reporting may technically work, but it can cause problems in practice.

What changes has the Online Billing system brought about?

The NAV Online Invoice system has already undergone several significant changes in recent years (e.g., versions 2.0 and 3.0), and data reporting requirements continue to evolve. NAV regularly expands and refines these requirements, which in turn requires ERP systems to adapt on an ongoing basis.

The most important of these areas are:

  • expansion of reporting requirements
  • more detailed data structures
  • stricter verification logic
  • greater emphasis on automation

This means that an enterprise management system must not only function properly but also be capable of adapting to changes.

NAV Invoice Data downloading and pre-posting

Most companies now routinely submit invoices to the NAV. However, true efficiency begins when we leverage technology to our advantage: the official Hungarian localization of Business Central now allows for the automatic download of supplier invoice data from the NAV system.

Why use this module?

  • Verification instead of data entry: The system retrieves the data reported by our partners directly from the NAV server. This eliminates most manual data entry and errors resulting from typos.
  • Intelligent matching: The module identifies the supplier based on the tax ID number and helps assign items to the correct general ledger accounts and VAT codes.
  • Continuous monitoring: It helps identify if a partner has not reported the invoice to the tax authority or if there is a discrepancy between our records and the official data.

Important to know: This feature processes data (XML) recorded in the NAV Online Invoice system and, once the appropriate settings have been configured in Business Central, becomes a valuable tool for your daily work.

How does the process work in practice?

  1. Data retrieval from the NAV: With the click of a button, Business Central connects to the NAV server and retrieves the XML data for all invoices where your company is the customer. No more lost emails or forgotten envelopes.
  2. Intelligent processing and mapping: Based on the downloaded data, the system identifies the supplier and automatically maps certain data to the corresponding fields in Business Central. This primarily applies to the invoice header data (e.g., partner, dates, basic data). Processing the invoice lines, however, requires a manual step: the user assigns the appropriate general ledger accounts and items.
  3. Creating a pre-posted document: The system automatically creates the incoming invoice or journal entry from the approved data. All that’s left for you is a quick review and final posting. This turns most of the manual data entry into a simple approval process.

What do you need to know before implementation?

To ensure the module runs smoothly, it is important to clarify the technical requirements:

  • Data, not PDF: The module downloads the structured data of the invoice (XML file) from the NAV, not the image format of the invoice (PDF). This is perfect for accounting, but the obligation to retain invoices in their original format must still be ensured.
  • Configuration required: The software must be configured at the outset for supplier matching. Once this is done, the system can operate independently.
  • NAV permissions: On the NAV Online Invoice interface, the technical user must also have the "Invoice Query" permission (not just the "Submit" permission).

Using the NAV invoice data download module can significantly reduce the time spent on financial administration, while minimizing the number of errors.

Summary

The NAV Online Invoice system should no longer be viewed merely as a regulatory requirement. The Hungarian localization of Business Central has proven that this integration can become the digital engine of the company. While automated data reporting ensures regulatory compliance, the invoice upload module already saves the finance team measurable working hours.
NAV integration is therefore no longer just about invoicing, but about the smart use of incoming data. Those who take advantage of this not only avoid penalties but also free their colleagues from manual data entry.
